Barefoot Facilitation Inc. is a leading provider of facilitation services and training solutions. We are on an exciting path of continued growth as we support a growing group of voluntary, public and private sector clients across Canada and beyond. We work with clients to co-create in-person and digital onversations that are relaxed and informal, while being results oriented and engaging.
The Client Experience Coordinator plays a critical role in the success of our daily operations by ensuring that our clients receive an outstanding ongoing experience in working with the Barefoot team. The position reports directly to the Founder and CEO of the company and works closely with a circle of independent consultants, as required.
We are looking for someone self-motivated, detail oriented, tech savvy and professional to excel in this position with our company. The ideal candidate is very flexible and is open to working in-person, in a co-working space and team environment. Our physical office is located in Bedford, Nova Scotia at Brookline Plaza.
What you’ll do:
  • Exceed client expectations – every day!
  • Respond to telephone/e-mail inquiries and communicate messages and information accurately, with follow-up, as appropriate
  • Manage and maintain electronic calendar to schedule in-person and virtual conversations
  • Create and maintain various Excel spreadsheets required for tracking and reporting
  • Prepare, disseminate and track invoices in a timely manner
  • Create written correspondence and proofread/edit material for accuracy
  • Organize and maintain filing systems (paper and electronic), using Dropbox
  • Maintain client database, using Excel and Mailchimp
  • Maintain and update company website, using WordPress
  • Assist as virtual co-host during online Zoom sessions
  • Type/transcribe workshop outputs
  • Coordinate workshop logistics, in collaboration with clients
  • Provide coordination and administrative support for ad-hoc projects
  • Create and post content to company social media channel

What you’ll need:
  • A post-secondary degree/diploma from a recognized Business, Office Administration or Administrative Specialist program
  • 2+ years work experience in a client success role, ideally within a small business environment
  • Excellent computer skills and demonstrated capabilities in Microsoft Office Suite and Google Workspace
  • Familiarity with WordPress, Padlet, Mailchimp and SurveyMonkey, an asset
  • Familiarity with Zoom as a virtual delivery platform, including its features and functionalities, an asset
